Office Coordinator

Position Summary

This position is classified as a full-time permanent role with 40 hours achieved weekly. Each shift will consist of not less than 8 hours per day with one 30-minute unpaid lunch break. This role supports Pro-Western Mechanical’s administrative operations through assistance in travel coordination, fleet management, permit applications, communication handling, expense tracking, and general office support.

Responsibility and Activities

  • Coordinate and manage travel and accommodation arrangements for employees.
  • Oversee vehicle fleet operations including registration, insurance, keys, maintenance and tracking.
  • Apply for permits and schedule inspections as required.
  • Manage multi-line phone system and monitor email inboxes.
  • Assist with tracking and reporting of expenses.
  • Organize and file reports and documentation.
  • Handle incoming and outgoing deliveries.
  • Support planning and execution of company events.
  • Perform other administrative duties as assigned.

Qualifications and Abilities

  • Administrative Assistant Certificate/Diploma required.
  • Minimum two years’ experience in an administrative role.
  • Attention to detail and excellent organizational skills.
  • Proficiency in Microsoft Office and general computer aptitude.
  • Self-motivated with excellent time management skills.
  • Ability to work independently with minimal supervision.
  • Strong communication skills and ability to work collaboratively in a team environment. 
  • Proficient in written and oral business communication.
  • Typing speed of 50 wpm.
